Administrative Assistant (Sales Dept)

Sales Administrative Assistant Responsibilities
Administrative support to Director of Sales and Regional Sales Managers
Maintain and distribute weekly schedules
Record department vacations on E-Time
Assist with coordination of internal meetings for Director of Sales, RSMs, AMs and SSRs (to include DEF regional managers, Production Planning managers)
Inventory promotional items and record disbursements of items
Coordinate Sales Team Meeting (two per year)


Travel:
Book travel for Director of Sales and Regional Sales Managers (RSM), Account Managers(AM) and Sales Support Representatives (SSR)
Register all sales personnel for state shows
Prepare/process expense reports for Director of Sales
Process expense reports for RSMs, AMs, SSRs
Set up plant visits for customers - coordinate with plant personnel, make travel arrangements, etc.
Prepare visa requests


General:
Provide RSMs, and AMs assistance as required
Field external calls
Distribute mail for sales
Scan contracts and mail to customers; maintain files of paper contracts


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
