Our business partner, an international food and beverage company, has an immediate need for a highly-skilled, forward-thinking, and experienced senior executive administrative assistant with global business experience to work onsite in Deerfield, IL. This is a full-time/permanent (salaried) position with fringe benefits.
The senior executive administrative assistant will support to the company's executive vice president (EVP), chief financial officer (CFO) and vice president (VP) of Investor Relations, located in Deerfield, IL. This position provides direct executive-level administrative support that involves preparing reports and presentations, scheduling and managing off-site, on-site, and virtual meetings spanning across global time zones, planning and facilitating extensive international and domestic business-related travel for company executives, and calendar management; ensuring the smooth daily flow of all appointments. The successful candidate must be able to handle multiple tasks in a fast paced professional work environment that demands excellent problem solving, organizational, and communication skills while maintaining confidentiality at all times.
This person is a first line of contact of the company's Global Finance Department both internally and externally. The success of the EVP and VP and the Global Finance Department depends on the ability of the department to function quickly and effectively in the broader organization, and the senior executive administrative assistant plays a key role in this success by effectively handling administrative matters.
Responsibilities:
Provide day-to-day executive-level administrative support to the EVP, CFO, and VP of Investor Relations, which includes the preparation and routing of documents, answering phones, preparing presentations, letters, travel, meeting planning, and expense reports.
Monitors and prioritizes executive email, highlights actions and routinely authors responses.
Schedules appointments and controls executive's calendar. Active participation in decisions affecting executives and/or departments schedule/priorities. Schedules group meetings, off-site events and travel reservations.
Works on special projects, as requested.
May act as back up in the absence of other senior administrative support staff members.
Ability to exercise independent decision-making, convey an accommodating attitude toward the other team members, foster a team-player environment, accept feedback and direction, work well under pressure and tight deadlines. The exercise of good discretion and the ability to maintain confidentiality are significant requirements in this position.
Must be able to juggle a number of competing tasks and work well under pressure and a sometimes stressful environment. Must be able to identify department and company priorities and anticipate the CFOs and VPs needs in adjusting priorities and scheduling to meet such priorities.
Interaction involves regular communication requiring interpretation, persuasion and discretionary skills. Requires daily contact with all levels of management, often dealing with confidential information.
Qualifications
Associates degree or equivalent work experience
Minimum five years of senior-level executive administrative experience, including extensive experience in calendar management
Minimum 3 years of experience supporting C-Level executives
Experience working effectively in a matrix organization
Ability to interact with all levels within and outside of the company
Excellent written and verbal communication skills
Experience handling large, multiple projects and data simultaneously
Ability to adapt in an extremely fast-paced, sometimes stressful, and time-sensitive environment
Ability to work within a team and independently
Strong problem-solving skills
Ability to identify issues
Strong attention to detail
Strong organizational skills
Technologically savvy
Proficient in Word, PowerPoint, Excel and Outlook
Note: To be minimally qualified for this position, the applicant MUST have extensive administrative experience supporting a C-level executive(s) in a global/international organization.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
