The incumbent provides the utmost professional administrative support for the day-to-day activities of the Chief Financial Officer and Director of Investor Relations. Provides backup support to the Sr. Executive Assistant to the CEO and coordinates scheduling the Corporate Aircraft.
Executive Administrative Support for CFO and the Director of Investor Relations
Heavy and complex travel coordinating both domestic and international. Includes air, hotel, meals, transportation, etc.
Coordinates schedule and keeps others advised as appropriate
Coordinates and plans meetings when necessary
Creates documents/reports/spreadsheets
Receives and opens mail and email
Reviews and summarizes correspondence and reports, prioritizing and highlighting to facilitate review; independently prepares correspondence for signature
Maintains follow-up system(s) to assure timely response to correspondence, phone calls, etc.
Maintains correspondence and report files
Prepares and processes expense accounts
Prepares and distributes monthly results letter to the Board of Directors
Prepares annual G&A budgets and processes and tracks G&A budget items
Assists other executives and staff to maintain smooth and efficient office environment
Provides various support functions for Crisis Management Team when activated.
Committee and Investor Meetings
Prepares and mails Audit Committee items as required including agendas, booklets, etc.
Provides on-site administrative and travel assistance as required
Corporate Jet:
Schedules all aircraft usage
Creates and distributes, as appropriate, monthly usage report
Back-up to Sr. Executive Assistant
Coordinates Board of Directors', Committee and Annual Meetings to include meeting reservations, arranging for meals, negotiating rates for rooms, meals, snacks, etc.; coordinates Board Members' travel itineraries; on-site administrative and travel assistance as required
Provides administrative support for CEO and Director, Investor Relations
Highly prefer candidate with Investment Banking experience.
High School or equivalent; post High School education is a plus
Minimum of 5 years experience working with top Corporate Management or equivalent.
Proficient with PC including Windows (Word, PowerPoint, Excel), Outlook, spreadsheet and communications software.
Above average writing/editing skills. Ability to summarize correspondence and reports.
Above average public communication skills.
Proven ability to work with employees at all levels.
Ability to function in an environment where services are shared by two departments.
Someone with a strong work ethic, no social butterflies.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
